When scope expands, a change order turns a casual ask into a documented agreement — before unpaid work ships.
When to use a change order
Use a change order when the request is outside locked deliverables, exceeds revision limits, adds formats or audiences, or reopens an approved direction.
Change order checklist
Include these fields in every change order before starting added work:
- Reference the locked milestone or SOW section
- Describe the added deliverables (countable)
- Fee: fixed add-on or hourly with cap
- Timeline impact on current milestone
- Both parties accept before work begins
Sample client message
"Love the direction. Animated hero variants are outside our current milestone — happy to add them via change order: [scope], [timeline], [fee]. I will hold on that until we align so the original milestone stays on track."
